Description
Typical Daily Tasks:
•Supporting the project team within a busy and sensitive environment
•Document management, filing documents on INVU (Inhouse Filing System)
•Creating Standard documents/templates in INVU for jobs and insuring all paperwork is clearly filed.
•Promote good use of INVU throughout your allocated team/s
•Checking expenses sheets for accuracy or spurious claims
•Procurement (raising Purchase Orders, Credits, Hiring Plant etc)
•Running off reports
•Other Ad-hoc admin duties (refreshment for meeting, postal duties, distributing faxes etc)
•Dealing with site staff signing in and out, holiday forms etc
•Organising and maintaining drawing rack
•Distributing drawing, RFI’s, Technical Submittals etc via document control
•Organising, structuring, using, editing and preparing O&M manuals for the Project Manager
•Typing minutes, letters, reports and emails to various members of the team and contractors.
•Data Entering of drawings, numbers/document information regarding the project, registering incoming and outgoing mail, faxes and email
•Webroster (In house signing in system)
•PPE
Must haves:
•Very computer literate, being at good-advanced level with Word, Project, Excel and PowerPoint
•Self motivated, manages self and others
•Use ears and eyes to good effect – listening/looking out for anything that doesn’t seem right, using this skill to notify others when they suspect someone needs help/has done something wrong so that it gets dealt with before it becomes an issue
