Responsibilities This role is accountable for the delivery of administration processes for the EMEA Compensation and Benefits team combined with the provision of day to day administration for the VP - Compensation Consulting.
Specifically this role is tasked with
Day to day management of diary for VP – including last minute travel plans and re-scheduling of meetings impacted by last minute changes / priorities.
Day to day running of VP office – ensure emergencies are highlighted and dealt with promptly, ensure VP is aware of issues and has time to dedicate appropriate focus and time.
Management of market reviews and 1-2-1’s – ensuring direct reports & teams get appropriate levels of time and focus, i.e. management of the diary to accommodate extremely high profile function
Coordination of travel for visits, market reviews and last minute business reviews
Organization of all logistics surrounding the Brighton and London retiree Christmas parties. Includes venue and catering selection, negotiation and service delivery oversight; management of attendee RSVPs and special requirements.
Execution under direction of updates to UK Benefits handbooks, brochures etc., e.g. as legislative and policy changes arise, or for changes in provider contact information.
Organization of all logistics surrounding the UK Pension Plan Trustee Meetings including room booking, contact with attendees, preparation of materials.
Co-ordination of supplier payments: CEFRs, POs, including liaison with colleague managing budget and forecasting.
Co-ordination of monthly job evaluation committee meetings: agendas and outcomes.
Team metrics for reporting to HQ Comp and Regional HR leadership.
Team representative for selected ESAT initiatives and communications.
Preparation of 'country profiles' for YEP.
Selected YEP centralised activities e.g. . . . distribution of outcomes to the various EMEA payrolls . . . cutting and distribution of 'red flag' reports
Maintenance of MRZ repository
Response to basic MRZ queries (from repository data)
Maintenance of Change Management Tool information
Peoplesoft queries when applicable to the entire team
Required Qualifications Ability to work effectively with minimal supervision, be self disciplined and able to prioritise workload with excellent organisational and time management skills.
Ability to drive results, ensure timely completion of initiative/task.
Attention to detail with the ability to set priorities.
Excellent follow-up skills.
Excellent interpersonal skills with ability to professionally interface with individuals at all levels of management.
Expert knowledge of Word, PowerPoint, Excel and Lotus Notes.
