Responsibilities As a Meeting Planner your role is to creatively, proactively and efficiently design and manage events that go above and beyond expectation and brief for our global client.
To efficiently and effectively plan the most cost conscious, exciting, creative attendee pleasing meeting for our client. To manage a budget and stay strictly within those guidelines. To effectively negotiate vendors contracts and rates.
Specific Accountabilities:
• To act as an Account Manger and representative of Meetings@Intel with Intel Moscow. To help manage existing event owners – assisting in developing the account as well as business development, promoting our services in the Intel market and in turn capturing new business.
• To take a brief and identify the needs and specific requirements of that brief with the ability to handle any and all client requests – no matter how out of the ordinary. This includes:
1. Handle all types of programs – with varying degrees of importance
2. Handling meetings ranging from 10 people to 3000 or more
3. Contract and Negotiate with suppliers – identifying the correct supplier to meet the needs of the brief.
4. Create and design Food & Beverage functions – understanding guarantees and limitations, plan the logistics of the meeting – from meeting room set-up to coordinating 100 breakouts. Manage rooming lists and arrival/departures list.
5. Understand Attrition Guidelines and Cancellation Penalties – as they pertain to a hotel contract.
• Being able to pickup and work a variety of technology.
• Keep updated on Industry Trends and new and exciting products – that can potentially be used for your client or meeting.
• Handling a heavy workload – several meetings a month.
• Compile & reconcile the final bill to include:
1. Being able to close out the account to (at least) the amount of profit that was originally estimated.
2. Have a good handle on estimated profit for each meeting – consistently updating the numbers.
