Job Description
To contribute to the Contracts Team in providing a first class service to manage commercial agreements, rebate management, risk reduction and SOX Control adherence. To work x-functionally with the sales order process team in validation and reconciliation of stock movement v's reclaim data. To generate, update and maintain current and historic contracts, including Hospital Contracts, Dispensing Doctors and other commercial deals. Validate and resolve queries and ensure the accuracy of any rebates given. Interface with Customers and appropriate AZ staff as required.
Accountabilities/Responsibilities
Financial (30%)
Responsible for generating, updating and maintaining contract details, ensuring data is accurate and adheres to current Strategy.
Produces monthly rebate claims for management sign-off, validating content and investigating areas of discrepancy or non-compliance.
Compiling accurate monthly sales provisions to deadline.
Ensure adherence to SOX controls embedded in usual business processes.
Keeps audit records and materials for external and internal auditors (specifically contracts records).
Operational (+40%)
Ensures sales activity data is uploaded into contracts database to agreed timelines.
Liaises with appropriate field forces to resolve queries within agreed timelines.
Maintains databases with current customer information.
Validates data to ensure agreement compliance and rebate risk reduction efficiencies, feeds back exceptions.
Processes data to generate BACs credits for Dispensing Doctor accounts.
Authorise daily/monthly credits to SAP upload via csv's and to strict SOX controls.
Ensures swift communication of account detail to external customer via statements/e-statements credit/advice notes and wholesaler reports.
Provides platform for standard and adhoc reporting using Business Objects and Excel to enable clarity of data and target compliance to customers.
Works to given service level criteria and performance goals.
Handles customer enquiries, giving appropriate levels of advice and clarification.
Interacts with the sales analysis group and finance to resolve issues.
Escalates unresolved issues to management.
Records and tracks performance of KPI's.
Assists in team discussion and offers suggestion for improvements to cross-functional and immediate team working, along with sharing of best practice and value added tasks.
Works in cross-functional teams and promotes marketing department values.
Communicates issues and concerns in a clear, timely and logical manner.
Customer Support (+30%)
Captures appropriate customer insight and feeds back to Brand Teams through agreed channels in a timely manner..
Maintains relationships with key stakeholders (sales teams, marketing and finance teams) and promotes positive customer service image.
Escalates issues to Contracts Manager.
