Overall job purpose
To act as an integral part of the Operations Group, by providing coordination and administrative support for assessments, reviews and regulation within all healthcare organisations; and applications and registration of independent healthcare organisations. To assist with additional specified projects within public and independent healthcare organisations.
Key responsibilities
* To support the work of the Operations Group, manage administration projects and provide coordinator support to the Healthcare Commission’s assessment and inspection programmes, working within a specified Regional Team.
* To support the registration, inspection, complaints and enforcement functions in accordance with internal procedures and the regulatory legal framework. To assist and work within the field as required.
* To support the communication process, including liaising with key organisations at all levels with initiative and diplomacy. To be able to relate in terms of the legislative and delivery functions with independent healthcare organisations when required.
* To coordinate engagement events with stakeholders as required.
* To develop and maintain robust electronic and manual administration support systems and contacts databases.
* To provide document management, maintaining tracking systems, analysis where appropriate and ensuring timely delivery to end-users.
* To organise travel, accommodation, venues and associated arrangements for meetings and visits.
* To liaise with staff across the Healthcare Commission to assist the work of the Operations Group, e.g. Finance – using purchase order systems and handling expense forms, IT, Human Resources and Information & Analysis.
* To research appropriate suppliers and liaise with external contractors including sourcing quotes and establishing service level agreements.
* To take and transcribing accurate notes from relevant meetings and providing fast and accurate audio and copy typing.
* To provide cross cover for colleagues as necessary.
* To contribute to the patient focused organisational goals of the Healthcare Commission by recognising and promoting equal citizenship both within the Healthcare Commission itself and in dealings with all stakeholders, thus underpinning its core function of assessing and inspecting healthcare providers.
